Create clinics

A clinic series is a repeating pattern of linked clinics.

Clinics in a series share the same:

• days
• times
• appointment length
• number of vaccinators
• vaccination services 

Because the clinics are linked, you can change or cancel an entire series at the same time. 

To create a clinic that doesn't repeat, find out how to create a single clinic. 

1. Select Clinics from the menu at the top of the page.
2. Select Create and manage clinics.
3. Select Create clinics.
4. Choose Weekly sessions.
5. Enter the dates for your clinic series, then select Continue.
6. Select the days your clinics will run, then select Continue.
7. Enter the start and end times for your clinics.
8. Enter the number of vaccinators who will work at the same time.
9. Enter the appointment length in minutes.
10. Select the services you want to offer.  You must be commissioned to deliver any service you add.

Capacity calculator

The capacity calculator updates as you enter the details. It shows:

• total appointments
• appointments per hour

Use this to check how your changes affect how many appointments you will have in each clinic.

Add clinic closures 

Closures are planned dates when your clinic will not run, such as bank holidays.  

If you do not need to add a closure, select No and continue to check your clinic series.

If you need to add a closure:

1. Select Yes, then select Continue.
2. Enter a name for the closure if you want to.
3. Enter the start and end dates.
4. Select Continue.

The next page shows the closure you added.

Select Add another closure if you need to add more dates.

When you have added all your closures, select Continue.

Check the clinic series details.

Select Change next to any details you need to update.

When the details are correct, select Publish clinic series.

After you publish the clinic series, you’ll see a confirmation page.

The series will then appear in Create and manage clinics. Appointments will also be available for people to book.

A single clinic runs on 1 day and does not repeat.

Start creating the clinic

You can create a clinic from Create and manage clinics or from the day view.

From Create and manage clinics

1. Select Clinics from the main navigation.
2. Select Create and manage clinics from the sub-navigation. 
3. Select Create clinics.
4. Choose Single clinic.
5. Enter the date the clinic will run, then select Continue.

From the day view

1. Go to the date you want to create the clinic for.
2. Select Add clinic.

The clinic type and date will already be selected.

Add the clinic details

1. Enter the start and end times for the clinic.
2. Enter the number of vaccinators who will work at the same time.
3. Enter the appointment length in minutes.
4. Select the services you want to offer, then select Continue.

Capacity calculator

Check and publish the clinic

1. Check the clinic details.
2. Select Change next to any details you need to update.
3. When the details are correct, select Publish clinic.

After you publish the clinic, you’ll see a confirmation page.

The clinic will then appear in Create and manage clinics and on the relevant date in the week view.
