Clinical risk management training: terms and conditions

These terms and conditions should be read when using the clinical safety secure online payment facility.

Credit card payment

Payment can only be made using an authorised card at the time of the transaction on our website, or by invoice. Receipts for payment are provided in electronic format.

We take reasonable measures to ensure that our website is a secure site.

We take reasonable necessary steps to ensure that any information provided by you for the purposes of payment will be kept secure in line with 2018 GDPR regulation.

If any information that you have given to us proves to be incorrect, which has resulted in our not charging you the correct fee for the course(s) that you are buying, we reserve the right to adjust the fee (upwards or downwards) so that it is the correct fee for your circumstances.

Course cancellation by NHS Digital

There may be instances where a course needs to be cancelled due to circumstances beyond our control. Where NHS Digital have cancelled a course OR your booking onto a course is cancelled by NHS Digital due to capacity reasons, you will be contacted by a member of the clinical safety training team. In this event, all booked delegates will be offered a priority place on an alternative date. If the original delegate is unable to attend, an alternate delegate is able to attend at no additional cost. We will simply require the replacement delegate’s details. Please refer to the clinical safety training website for course availability.

If an alternative course date is not suitable, then a full refund of the fee paid for the cost of the booked course will be issued. No payment will be made for any related costs (travel, accommodation, refreshment for example) that the cancellation may raise. Refunds will only be made back to and reflecting the original payment method. Please note, where the original payment was made online via credit card, the cardholder will need to be available via telephone in order for the refund to be processed. NHS Digital reserves the right to cancel without incurring any liability to the delegate in respect of any such cancellation.

Examples of why courses can be cancelled include:

  • illness
  • staffing or resource difficulties
  • venue failure due to unforeseen circumstances (such as power cuts, fire or flood)
  • urgent course material change due to Department of Health and Social Care or trust policy change that requires immediate actions to be taken before training is delivered
  • cancellation because minimum/maximum capacity considerations
  • network or equipment failure

Delegate cancellation

Below is the policy for booked course attendee entitlement to a refund where the delegate subsequently elects to cancel their place.

Delegate cancellation refund entitlement Notice time period required to be given to us for this entitlement

Full refund will be issued

12 weeks or more

50% refund will be issued

Between 6 weeks and 12 weeks

25% refund will be issued

Between 2 weeks and 6 weeks

Nil refund Less than 2 weeks

NHS Digital reserve the right to vary the above policy if circumstances around the cancellation warrant an increase in the level of the refund.

Before you pay / make arrangements to attend

Paying for the course does not automatically guarantee a place. This is due to the possibility that 2 delegates may book 1 remaining place simultaneously. Whilst this is unlikely, it is not impossible so please wait for confirmation from the clinical safety training team that your place is booked. We advise that you do not book travel or accommodation prior to receiving this acknowledgement. Be aware of the NHS Digital course and delegate cancellation policy set out above when booking any travel arrangements.

Course booked in error

If you have booked a course in error, please inform the clinical safety training team immediately by emailing [email protected]. You are entitled to a full refund for any bookings made in error (in line with the delegate cancellation policy set out above). If you then wish to rebook the correct course, please do so.

Arrangements for a refund payment

Where a refund has been agreed, the clinical safety training team will forward the request to the NHS Digital finance department. Someone from the finance team will contact you within 2 working days of receiving this request to process the refund. A refund may take up to 5 working days to process.

In any situation where a refund is to be processed to a personal credit or debit card, the cardholder MUST be present. No refund will be issued without direct authorisation from the cardholder who must also have available details of the card from which the purchase was made.

For any queries regarding online bookings, changes to existing bookings or refunds, please contact [email protected].

Please note that course prices may be subject to change.

Any course documentation required will be distributed prior to the event.

All delegates attending the Clinical Risk Management Training must have completed the e-learning course prior to attending. Please contact [email protected] for any queries around access to e-learning.

From time to time, for training and information purposes, we may record/video some of the sessions. Attending the course assumes your consent to be on camera. If you are attending a recorded session and wish to refrain from being filmed, please inform the course trainer on arrival.
