Application reports and extracts

Application reports and extracts are located on the reports section of the e-Referral Service (e-RS) system application and can be accessed by users with the Information Analyst role on their smartcards.

Reports

In March 2018 new functionality was introduced to the NHS e-Referral Service (e-RS). This allowed users with the Information Analyst role assigned to their smartcard to request information instantly from e-RS.

The function is initially enabled to extract data relating to advice and guidance requests. Enhancing the way in which data can be reported on allows access to information much quicker.

System reports are generated on a regular basis by the NHS. As opposed to enquiries, reports are static sets of data that are automatically created by the system. The reports that users can view depend on their role. Reports are not stored in e-RS indefinitely.

Reports available:

  • A1 - Monthly past appointment utilisation report (area team report)
  • A2 - Weekly future slot utilisation report (area team report)
  • C5 - Weekly future appointment slot utilisation for commissioned services (commissioner report)
  • R5 - Monthly activity by role report (referrer report)
  • S1 - Monthly activity by service report (service provider report)
  • S5 - Monthly referral activity by commissioner and priority report (service provider report)
  • S6 - Monthly past appointment slot utilisation report (service provider report)
  • S7 - Weekly future appointment slot utilisation report (service provider report)
  • B1 - Monthly activity by role report (BMS admin/IA/call centre report)

Extracts

Extracts are data files in CSV (comma separated value) format that are compressed into a .zip file and which can be downloaded from the NHS e-Referral Service. After being downloaded, extracts can be unzipped and imported into data analysis software that supports CSV format. Primary and foreign keys are used throughout the extracts which allow them to be linked for use in extended analysis and reporting. Extracts are generated covering specific periods of time.

Find out how to decode information from an extract to make the information more meaningful. This is undertaken using a VLOOKUP function within MS Excel. In this example, we are using the EBSX05, generally known as the Directory of Services (DoS) extract, but the same principles would apply to any of the extracts in the system.


Enquiries

Enquiries allow the user to retrieve information from e-RS in the form of a simple list, similar to a worklist, which displays on the NHS e-Referral Service web page. The information is current at the point at which the enquiry is selected; therefore, successive viewing of the enquiry may display different data.
