Reporting

Site Mangers and Regional Managers can access a number of Q-Flow reports for their locations. 

How to access reports

1. Select Management > Info Center.

This will take you to the Info Center Home screen.

2. Click on the orange 'Vaccination' heading to see the list of reports.

Bulk cancellation report

A report that tracks successful bulk cancellation processes is available for wider reporting purposes. It provides data on the number of cancelled appointments, the cancellation reason and the location and time that the cancellation was performed. 

  1. Go to the left ribbon User > Work Profile, select the site that you want to view the report for from the drop-down list and click update and refresh your browser.
  2. To view the report, select Management > Info Centre.
  3. Select Vaccination > Bulk Cancellation Report.
  4. Select the date or date range.
  5. Select View Report
  6. It is possible to export/download the report using the save icon (highlighted).

Content Management attribute report

A report that provides an overview of which attributes sites have set to True or False in Content Management. Regions should use this report to ensure sites offer the appropriate accessibility and transport attributes.

  1. To view the report, select Management > Info Centre.
  2. Select Vaccination > Content Management Attribute Report.
  3. Select View Report.
  4. The report will provide a list of all the sites you have as Work-Profiles.
  5. It is possible to export/download the report using the save icon (highlighted).

Site age attribute report

A report that provides an overview of which age parameters sites have set to True or False in Content Management. This determines which age cohorts can view and book into the site. You are only able to view data for sites that you manage.

  1. To view the report, select Management > Info Centre.
  2. Select Vaccination > Site Age Attribute Report.
  3. Select View Report.
  4. Data for the selected site(s) will be displayed including Allow5to11, Allow12to15 and Allow16to17.
  5. A value of 1 means that the parameter is set to True and that age cohort can book into the site.
  6. A value of 0 means that the parameter is set to False and that age cohort are not able to book into the site.
  7. It is possible to export/download the report using the save icon (highlighted).

Site summary report

A report that provides a general overview of your site. For each vaccine calendar, the report displays data for:

  • total booked appointments
  • all booked appointments split by service type
  • DNAs (did not attend) if you check in all patients using the Check-In App
  • cancellations (by site or by patient)
  • all available appointments split by service type (the service type numbers cannot be added together to gain a 'total' number as some of the appointments might overlap and therefore be duplicates)
  • available appointments by Diary Manager appointment type configuration

1. To view the report, select Management > Info Centre.

2. Select Vaccination > Site Summary Report.

3. Select a Date Range and click View Report.

Unit Appointments List

 A report that shows appointment status (arrived, expected or no shows). 

Unit Appointments List can be used to calculate the number of Did Not Attends (DNAs) for any day in the past.

This report will only give you an accurate number of DNAs if you are using the Check-In app or the Enqueue Q-Flow functionality to check patients in as they arrive. 

1. Select Calendar Analysis > Units Appointment list.

2. Select a Date Range.

3. Leave Scheduling Group as ‘ALL’.

4. Change the Appointment Status filter to the desired appointment status.

5. Click View Report.

You can also use this report to view a list of appointments with different statuses:

  • expected - appointment has been booked but not yet checked in 
  • arrived - appointment has been checked-in
  • no show - this status is automatically set at 23:30 on the day of the appointment if the appointment is not checked-in
