Edit appointment availability

Site managers can increase, decrease or remove published appointment availability at their sites.

Any appointments already booked will not be cancelled by changing the availability in the Diary manager screen. The appointment will appear as an exception within your calendar and you will need to cancel the appointment if you can't fulfil that appointment. 

You will need to follow the procedure to cancel a booked appointment.


See the current availability

First you need to navigate to the diary set up for your vaccination site.

1. Select Site Management > Diary Manager from the left-hand bar.

2. Click on the name of the calendar listed under your site, from the drop-down in the Calendar field.

If you are a site manager for more than one vaccination site, you can navigate to it from the Organisation tree displayed in the drop-down list by clicking on the plus (+) icon.


Amend or delete availability

1. Click the Select button to highlight the availability period you want to amend.

For each time segment in each day in the selected availability period, you can change the start time, end time and number of max simultaneous appointments.

You can also delete time segments completely but note that this will not cancel appointments that have already been booked in.

2.Click edit next to the tile of the day you want to amend.

3. Click the Select button to highlight the time segment you want to amend or delete. 

4. From here, you can edit the Start time, End time or Max Simultaneous Appointments fields or delete the whole segment by clicking Delete.

5. Click Save at the top left to save your changes.

6. Repeat for any changes to other time segments, and for any other days in the availability period.


Update the calendar

Once you have made all changes, you must upload them to the calendar.

1. Select Save to finalise your calendar.

The message Process is working behind the scenes will appear in the blue bar at the top of the screen. This means Q-Flow has started creating your appointments. This process can take a few minutes when Q-Flow is busy.

The message will not disappear while you remain on this screen, even when the creation of appointments in the calendar manager is complete.

3. Site managers should check the appointments created in Diary Manager have pulled through to the calendar view via Tools > Calendar. See manage availability and booked appointments.

If appointments have not been pulled through correctly to the calendar, you may not have clicked Save then Update diary in close enough succession. The recommendation is to delete and then remake the availability.
